With critical data spread across different cloud services and a large technology transformation project underway, the super fund required real-time visibility across its entire system.

Equal Experts partnered with the super fund to design and deliver a smarter approach to observability. By implementing 40 AWS-managed Grafana dashboards, the fund gained reliable monitoring and alerting a full seven weeks ahead of schedule, strengthening compliance and ensuring members remained supported throughout the digital transformation.

Challenge

Ensuring system reliability through large-scale change

To deliver future-ready services for its members, the fund had embarked on a significant digital transformation. As with any complex technology shift involving legacy migrations, maintaining absolute confidence in system performance was essential.

The organisation depends on accurate, accessible information to be able to manage and respond quickly to member queries while meeting strict regulatory requirements. However, with data spread across multiple distinct systems, including Azure, Okta and AWS, the fund lacked a single, real-time view of overall system health.

The primary goal was to empower its level-one support team with immediate system visibility. The team needed instant alerts if something failed and clear insights into errors or performance issues, so they could trigger the incident management process right away.

Initially, a complicated and time-consuming migration of log data to AWS was proposed as a solution, enabling the teams to take advantage of native monitoring dashboards. However, with critical transition deadlines looming and significant internal engineering resources required elsewhere, the fund engaged Equal Experts to support the project.

Solution

A smarter, pragmatic approach to observability

Following discussions with key stakeholders on observability requirements, Equal Experts identified a more efficient solution that bypassed the need for a full data migration. By implementing AWS-managed Grafana, the fund could centralise and visualise operational data from multiple sources, including Azure, AWS and the organisation’s own data lake, in one place. By removing the need to move the log data from the original source, it offered a lower-cost, faster-implementation option with reduced risk compared to the original proposed solution.

To prove the validity of the new approach, we worked alongside the fund to build and test a small set of dashboards in a proof of concept. Once validated, we expanded this into a full observability and alerting system, tailored to the needs of support teams.

Our approach was deeply collaborative:

  • User-focused design: We worked closely with team members to understand exactly how the level-one support team would use the dashboards in day-to-day operations. Alerts were configured to flag potential issues based on their requirements, such as identification of broken components and unusual performance patterns.
  • Pragmatic technology choices: With a complex migration already underway, we decided to use Bash Script, a technology that the fund’s technology team were already familiar with. This helped reduce complexity for the team and ensured a smoother handover and long-term maintainability.
  • Best practice guidance: We advised on general observability best practices and thresholds, helping them to determine the appropriate trigger level for alerts across their systems.
  • Building stakeholder trust: With the client team focused on the critical system transitions, they valued a partner who could deliver independently, transparently, and with minimal disruption. Our team maximised time with stakeholders, building trust during on-site meetings and keeping demands on their limited time to an absolute minimum.

Results

Delivering confidence through observability, ahead of schedule

Equal Experts delivered the full set of observability dashboards seven weeks ahead of schedule, greatly exceeding expectations. The early completion of the project gave the superannuation fund valuable time back to focus on the large-scale transformation taking place and reinforced confidence that they could monitor and maintain their systems throughout.

  • A unified view: 40 dashboards live in production spanning previously siloed systems.
  • Proactive risk management: Real-time visibility and alerting that allows support teams to spot and address system faults before they impact members, strengthening the fund’s operational resilience and regulatory compliance position.
